Terms of Service

Purpose of the Platform

DrGSuite is a clinic management platform. The Clinic Portal lets owners, administrators, receptionists, and practitioners run calendar, clients, booking, payments, marketing, academy, and reporting for their practice. The Client Portal lets patients and clients manage their own bookings, invoices, and care.

We operate as a technology platform. We do not:

• Provide medical, clinical, or other professional services ourselves
• Employ, control, supervise, or manage participating clinics or practitioners
• Guarantee pricing, availability, quality, safety, legality, or service outcomes
• Act as an agent, representative, or partner of any clinic unless expressly stated

All clinical and professional services are performed solely by independent clinics and practitioners. Any professional relationship is formed directly between the patient/user and the selected clinic.

Appointment Booking and Coordination

When a booking request is submitted through the Client Portal or a clinic's booking page:

• DrGSuite coordinates the request with the relevant clinic's Calendar
• Confirmation may be provided via email, SMS, or in-app notification
• Final availability is subject to the clinic's confirmation

DrGSuite does not guarantee appointment acceptance, time slot availability, or service completion.

Cancellation and Rescheduling

Users may cancel or reschedule appointments through the Client Portal (where available) or by contacting support. Cancellation rules, notice periods, fees, deposits, and refunds are determined by the participating clinic's own policies. DrGSuite does not impose its own cancellation fees and does not determine refund eligibility.

Payments

Payment handling within the Clinic Portal is provided as part of the clinic's workspace, through the Payments module. Where payments are taken, they are processed according to the clinic's configuration and any third-party payment providers they use. DrGSuite is not a party to payment disputes between clinics and patients unless otherwise stated in a separate agreement.

Account Registration and Responsibilities

By creating an account on the Clinic Portal or Client Portal you agree to:

• Provide accurate, complete, and current information
• Maintain the confidentiality of your login credentials
• Accept responsibility for activity under your account
• Notify us immediately of any unauthorized access

Users under 13 years of age may not create accounts or use the Services. We may suspend or terminate accounts that violate these Terms or engage in unlawful, fraudulent, or harmful conduct.

No Agency or Partnership

Nothing in these Terms creates an agency, joint venture, employment, franchise, or fiduciary relationship between DrGSuite and any clinic or user. Clinics remain solely responsible for the services they provide.

User Content

You are solely responsible for content you submit, including through Marketing templates or Academy course materials. By submitting content you grant DrGSuite a worldwide, non-exclusive, royalty-free license to use, reproduce, display, and distribute that content solely to operate, maintain, and improve the Services. We may remove content that violates these Terms or applicable law.

Disclaimer and Limitation of Liability

The Services are provided "as is" and "as available." To the fullest extent permitted by law:

• We disclaim all warranties, express or implied
• We do not guarantee uninterrupted, secure, or error-free operation
• We are not liable for indirect, incidental, consequential, special, or punitive damages
• We are not responsible for outcomes, cancellations, pricing or refund disputes, injuries, or claims arising from services provided by clinics

Indemnification

You agree to defend, indemnify, and hold harmless DrGSuite and its affiliates, officers, directors, employees, and agents from claims arising from your use of the Services, your violation of these Terms, your disputes with clinics, or your violation of law or third-party rights.

Account Cancellation and Termination

You may request account cancellation or deletion via account settings or by contacting info@drgsuite.com. We may suspend or terminate accounts for Terms violations, fraud, security concerns, or legal requirements.

Communications

By using the Services you consent to receive service-related communications (confirmations, reminders, account notices). Marketing communications sent through the Marketing module will comply with applicable law; you may opt out of marketing at any time.

Updates to Terms

We may revise these Terms from time to time. Updated versions will be posted on this page with a revised date. Continued use after updates constitutes acceptance of the revised Terms.

Severability

If any provision of these Terms is found invalid or unenforceable, the remaining provisions remain in full force and effect.

Entire Agreement

These Terms and the Privacy Policy constitute the complete agreement between you and DrGSuite regarding the Services and supersede prior agreements relating to the Services.
